Privacy Policy

This Privacy Policy explains what information LINC³ | ID collects, how we use it, who we share it with, and the choices you have. It applies to your use of the LINC³ | ID application and any related services provided by LINC³ | ID (“LINC³ | ID”, “we”, “us”).

1. Information we collect

We collect information you provide directly to us when you use LINC³ | ID, and a small amount of technical information generated by your use of the app.

Account information — email address and name (via Google Sign-In or password registration). If you use Google Sign-In, we receive only the fields Google returns for basic profile access.

Professional identifiers you save — such as NPI, DEA registration numbers, state license numbers, board certifications, malpractice/E&O policy numbers, and CV / résumé content.

Documents you upload — images, PDFs, and Word documents you attach to credentials, professional IDs, or business entities. Uploaded content is only used for the features you’ve triggered (Smart Capture extraction, storage, download).

Portal metadata — the URLs, labels, and password-manager names you save. We do not store your actual portal passwords.

Usage records — a limited audit trail such as sign-in times, credential ‘reveal’ events, and feature-usage counters that help you review your own activity.

2. How we use your information

We use the information you provide to operate the service — that means letting you save, view, and organize your professional credentials, upload and preview attachments, and use Smart Capture to auto-extract fields from documents you choose to scan.

We do not use your uploaded documents or credential data to train third-party models. Smart Capture calls an AI provider with the specific content you submit for extraction, and the provider processes it under their contractual terms without retention for model training.

3. How your information is protected

Your data is tied to your authenticated account, and our server verifies ownership on every request before returning any of your records. Information belonging to one user is never returned to another user.

We use secure account authentication and appropriate production data-storage protections. We do not claim to be ‘HIPAA compliant’ or ‘BAA-covered’; the app is a personal organizational tool for the credential holder, not a covered healthcare workflow.

4. Third parties we work with

We rely on a small number of vendors to run the service. Each processes data only on our instructions and only to deliver the feature they support.

Google (Sign-In) — receives your Google account identifier when you choose Google Sign-In so we can verify your identity.

Emergent Integrations — provides the AI inference (Smart Capture / OCR) and transactional email (feedback delivery) infrastructure.

MongoDB Atlas — hosts the encrypted database where your account content is stored.

5. AI features and your documents

When you use Smart Capture, the content of the document you select — page images or extracted text — is sent to our AI provider so it can return the parsed fields to you. If you do not save the result to a credential, the temporary Smart Capture content is discarded and not permanently stored.

Once you choose to save an eligible professional document (e.g., malpractice certificate, board certification, life-support card, DEA registration), the file and its metadata are stored on your account until you delete it.

6. Sharing and disclosure

We do not sell your personal information. We do not share your credential data or attachments with advertisers or data brokers. We may disclose account information only when required by law (e.g., a valid subpoena) or to protect the safety of our users.

7. Data retention and deletion

We retain your account content for as long as your account is active. You can delete individual items at any time from within the app. You can also request full account deletion by emailing us at the address below; we will delete your records within 30 days of a verified request.

8. Your rights

Depending on where you live, you may have the right to access, correct, download, or delete your personal information, and to object to certain processing. To exercise these rights, email us at the address below and we will respond within a reasonable time frame.

9. Children’s privacy

LINC³ | ID is intended for licensed and credentialed adult professionals. We do not knowingly collect information from anyone under 18. If you believe we have inadvertently collected such data, please contact us so we can remove it.

10. International users

The service is operated from the United States. If you access LINC³ | ID from outside the US, you understand that your information will be processed on servers located in the United States and, where our vendors operate, in their listed regions.

11. Changes to this policy

If we make material changes to this policy, we will update the ‘Last updated’ date at the top and — for significant changes — we will notify you in the app before the changes take effect.
